Summary of Position

Reporting to the operations manager, the clinic manager oversees day-to-day activities at the clinic level. Collaborating with the clinic medical leads, the clinic manager is an integral part in ensuring the organization delivers high quality and innovative programs and supports the organization to improve health outcomes and patient experiences in an integrated health care system.

Key Responsibilities

Key aspects of the position may include, BUT are not limited to:

Clinic Operations:

• Works closely with the medical leads and physician representatives to establish and monitor  quality measures within clinical practice

• Ensures clinic and staff are compliant with organization policies and College of Physician  and Surgeons Standards of Practice

• Ensures highest possible engagement and reliability of Electronic Medical Records (EMR)

• Manages supply purchase and inventory

• Coordinates and oversees maintenance of site and equipment

• Responsible for accurate and appropriate financial management in adherence to the allocated  budget

• Ensures team members are apprised of upcoming work changes and updates in a timely  manner through team meetings, emails, and other appropriate communication channels

• Provides staff with the training required to support physicians in delivery of patient care, effectively utilizing the Electronic Medical Record (EMR)

• Addresses patient and physician feedback and concerns

• Provides on-call support for urgent clinic operations; after-hours may be required

• Submits all clinic invoices to accounting department

Measurement and Optimization:

• Measures, documents and tracks relevant metrics such as clinic utilization

• Leads the development, coordination, implementation and evaluation of quality improvement  initiatives to support innovative patient care

• Engages clinic physicians and staff in developing clinic efficiencies and protocols that will optimize the patient medical home

• Implements strategies to improve high quality patient care

Program and Organizational leadership

• Participates in business, vision, and strategic planning, ensuring alignment with the organization’s aims to improve health outcomes and patient experience

• Establishes action plans to support achievement of strategic priorities, including objectives and measures

• Leads the development, coordination, implementation and evaluation of innovative programs  and services, in close collaboration with the medical leads

• Responsible for high quality program service delivery through monitoring, evaluation measures and quality improvement initiatives

• Promotes new program service delivery successes, learnings, and opportunities with internal and  external partners

• Supports the development, coordination and implementation of programs and services integrated within the clinic in close collaboration with operations manager

• Liaises with academic institutions to coordinate practicum student placements, serves as  preceptor, and conducts student evaluation.

Human Resource Management

• Plans, maintains and anticipates staffing demands to meet clinic workload requirements

• Conducts recruitment, payroll, orientation, scheduling, privacy, workplace health and safety,  performance management and staff development

• Facilitates a standardized orientation process for new employees including confirmation of hours of work, review of role responsibilities, review of procedures for illness and late  arrivals, etc.

• Takes a proactive approach to succession planning by identifying key team members  and accelerating the development of this talent through selective job experiences and  other activities

• Contributes to maintaining a strong health, safety, and wellness culture by ensuring  employees have the appropriate equipment and protective devices and ensuring that health and safety policies and processes are adhered to.

• Responsible for implementing performance management processes for all team  members through annual reviews and ongoing performance discussions

• Recognizes employees for their contributions in a timely manner and cultivate employee  engagement.

• Plans and organizes meetings and education development for clinic support staff

Physician support:

• Supporting clinic physician recruitment, contracting, onboarding, training, scheduling, financials and day to day clinic operations

• Ensuring clinic physicians are working in compliance to contractual agreements

• Provides onsite support and training to physicians delivering patient care in relation to the EMR

Knowledge, Skills & Abilities

• A strong, diverse background in healthcare and a clear understanding of the complexities of managing the clinic operations

• Intermediate expertise with multiple Microsoft Office applications and MedAccess EMR

Qualifications

• Successful completion of MOA certificate/diploma with a minimum of 5 years of leadership and  management experience in health care

• Strong business acumen with understanding of financial management, human capital management,  and materials management

• Experience in primary care with knowledge of PCN objectives will be considered an asset

• Combination of experience and education will be considered
